Data Protection Policy

 

The Eastbourne Open Bowls Tournament (EOBT) is fully committed to compliance with the General Data Protection Regulations (GDPR) which came into force on 25th May 2018. 

 

EOBT regards the lawful treatment of personal information as very important to its operations will ensure it treats personal information lawfully and correctly.

 

As a result of the operation of the Eastbourne Open Bowls Tournament and in connection with our services (including our website) we may obtain certain information about you.  This Policy statement sets out the principals governing our processing policy and use of that information.

 

By providing information about yourself to the Eastbourne Open Bowls Tournament you agree to our processing, storing and using that information in accordance with the principals set out in this policy.

 

We limit the collection and use of your information and only collect such information as is required to enable us to provide our service, to inform you about the services we offer and to administer the Eastbourne Open Bowls Tournament.  We will take all reasonable steps to safeguard the security and confidentiality of any information you provide to us. We cannot however guarantee the security of any information you disclose. You accept the inherent security implications of providing information and will not hold us responsible for any breach of security or disclosure of information unless we have proved to be negligent.

 

We will not reveal any of your information to any external organisation unless we have previously informed you that this will happen through disclosures or agreement, and we have your written authority to do so.  We will however disclose your information to authorised parties if we are required to by law.

 

You agree that we may disclose any information requested or required relating to you to any regulatory authority to which we are subject or to any person in power to require such information by or under any legal enactment or where a third party has provided to our reasonable satisfaction written confirmation that it genuinely and reasonably believes you have been defamatory or otherwise unlawful and further that the disclosure of your data is necessary

  1. b) For the purpose of obtaining legal advice, or as otherwise necessary for the purposes of establishing, exercising or defending legal rights

 

We will hold information collected by us on computer and other forms.  This information may be used for the purposes disclosed in this policy and may also be passed to other third parties to:

  • enable administration of the Tournament
  • provide statistical information to third parties and business partners (including sponsors)
  • improve the provision of our services and offer new services

Except as provided for under Lawful Business Practice Regulations, our personnel are not permitted to intentionally examine the contents of transactional information or disclose or otherwise use what they have seen, heard or read unless violations of law are discovered in which case appropriate disclosures must be made.

 

How your Data may be used by EOBT

 

  1. Your Name:  We will put your surname and initial onto the list of competitors and the relevant competition draw which appear a) in our Programme and b) on our website:- www.eobt.club   We will also retain your application form containing your full name in hard copy for a period of no longer than one year for the purpose of contacting you.

 

  1. Your Address:   We will retain your address in hard copy on your application form for a period of no longer than one year for the purpose of contacting you regarding the current event and regarding future events you have entered.  Your full address will not be disclosed to any third parties unless required to be by law.

 

  1. Your Bank Details:   We will not retain or share any information pertaining to your banking details when processing cheque payments.

 

  1. Your Club:   We will put the name of your club as indicated on your Entry Form onto the list of competitors alongside your name – which appears a) in our Programme and b) on our website:- www.eobt.club

 

  1. Reporting of the Event:   Your name and that of your club may be disclosed when reporting on the event to newspapers and may also appear in copies of such reports maintained upon our website:- www.eobt.club

 

What if I don’t agree?    Under GDPR, data subjects (you) have the right for their data to be forgotten (sometimes referred to as the right to erasure). Essentially, this means you can request that we delete all of the data that we hold on you, unless we have a specific reason to continue processing that data.

What is the ‘right to object’?  Under GDPR, if you ask us to stop processing your data for the purposes of direct marketing, we must do so immediately.  There are no exceptions to this.
